1. Who we are
Inclusion Bites is a podcast produced by SEE Change Happen Ltd (company number 13138905, VAT GB 368 9768 15), the data controller responsible for deciding how and why your personal data is processed. You can contact us at jo.lockwood@seechangehappen.co.uk.
2. Personal data we collect
The data we hold depends on how you interact with us. It may include:
- your name, job title, organisation and professional role;
- your email address, telephone number and other contact details;
- guest application details, correspondence and any information you choose to share for an episode;
- recordings, transcripts, images and biographical information provided for publication;
- feedback, survey responses and testimonials;
- website usage data such as IP address, browser type, device information and pages visited.
3. Special category data
Because Inclusion Bites explores identity and belonging, information you share may include special category data — for example relating to health, disability, neurodivergence, race or ethnicity, religion or belief, sexual orientation or gender identity. We process this only where relevant and necessary, and only where we have both a lawful basis under Article 6 and a condition under Article 9 of UK GDPR (usually your explicit consent). Please share sensitive information only where it is relevant to your participation.
4. How we use your data
- respond to enquiries and guest applications and manage our communications;
- plan, record, produce, publish and promote podcast episodes;
- administer bookings, recordings, show notes and follow-up;
- send updates or resources where we have a lawful basis;
- request and share feedback and testimonials with permission;
- maintain business records and comply with legal, tax and accounting obligations.
5. Lawful bases
We rely on contract (to deliver services you've asked for), legitimate interests (running and promoting the podcast, provided your rights don't override these), consent (for recordings, publication, testimonials and marketing) and legal obligation (tax, accounting and regulatory duties). Where we rely on consent, you may withdraw it at any time without affecting processing already carried out.
6. Sharing your data
We never sell or rent your personal data. We share it only where necessary with trusted providers who help us operate — for example recording and hosting platforms (such as Riverside.fm), podcast distributors (Spotify, Apple Podcasts, YouTube), email, form and analytics tools, cloud storage and IT providers, and our professional advisers. When you appear on the podcast, your episode, name, image and words are published and distributed publicly by design.
7. International transfers
Some providers we use may process data outside the UK. Where they do, we take reasonable steps to ensure appropriate safeguards are in place, such as adequacy regulations or the UK International Data Transfer Agreement.
8. Data security & retention
We use appropriate technical and organisational measures to protect your data, including restricted access, secure storage and access controls. We keep personal data only for as long as necessary: enquiry and correspondence records for up to 24 months after last contact; business, contract and financial records for up to 6 years; and published episode content for as long as the episode remains available.
9. Cookies & analytics
Our website uses privacy-respecting analytics and does not set advertising cookies. Some embedded third-party services — such as podcast players, video and social platforms — may set their own cookies governed by their own policies. Where required, we will ask for your consent before setting non-essential cookies.
10. Your rights
Under UK data protection law you may have the right to be informed, to access, correct, delete or restrict your data, to object to processing, to data portability, and to withdraw consent. You can also complain to the Information Commissioner's Office at ico.org.uk. Some rights are subject to legal limits.
