Inclusion Bites Podcast
Your guest recording guide
I’m delighted you’ll be joining me on Inclusion Bites. Here’s what to expect before, during and after your recording — plus the key terms that apply when you take part.
Any questions at any stage, just ask me: podcast@inclusionbites.co.uk. There’s no such thing as a daft question about a recording you haven’t done before.
1 · Audience and purpose
What the podcast is
Inclusion Bites is a podcast series I host, exploring inclusion, belonging, lived experience and positive change.
The tone is honest, human and practical. I aim for conversations that inspire action and help people build better, safer cultures — which is why I care far more about your story than about your job title.
It’s an audio-first podcast in English, made for people who listen: a live, unscripted conversation of about an hour, recorded in Riverside with cameras on (for now I publish the audio only). Within our 90 minutes I can pause for a short break, slow the pace, switch on live captions and welcome a supporter in the room; I’m not able to offer interpreters, translation, written contributions or questions in advance. Is Inclusion Bites right for you?
Who’s listening
- HR, talent and recruitment
- L&D, OD and leadership
- People-focused roles, and changemakers
2 · Format and timing
How long it takes
- I block 90 minutes in total. That is the whole appointment, not the whole recording.
- We spend the first 15 to 20 minutes on a tech check and a quick warm-up chat, so we are not strangers when the recording starts.
- The recorded conversation is typically around 60 minutes.
Where we record
We record on Riverside — studio-quality audio and video, straight from your browser, with nothing to install.
Your joining link is in your calendar invite. It’s always the same one: the Inclusion Bites studio.
3 · Style of conversation
How to prepare
This is a conversation between two professionals. It isn’t meant to be heavily scripted or formulaic. I’ll guide the flow and respond naturally to whatever you share.
You don’t need heavy prep — just come ready with your story and your message.
Prompts, if you’d like them
Entirely optional. Some people like something to mull over beforehand.
- What’s your background, and what shaped you?
- Why does inclusion or belonging matter now?
- What work are you doing that you’re proud of?
- What challenges have you faced, and what did you learn?
- What’s changed in your world recently — and what’s next?
- What do you want listeners to do differently after hearing you?
- Do you have a book, service, campaign or resource you’d like to mention, briefly and relevantly?
4 · Tech requirements
Joining the call
You’ll get your Riverside studio link in your calendar appointment.
Please click it ahead of time. I’d strongly recommend opening the link a day or two in advance, so you know your setup works before the clock is running. If something doesn’t work, email me and we’ll sort it.
Recommended setup
- An up-to-date Chrome or Edge browser, on Windows 10 or later, or macOS
- A strong, stable internet connection
- Headphones — they stop the echo
- An external microphone if you have one; it makes the biggest difference to audio quality
- A clean restart on the day, with other tabs and apps closed — browsers get sluggish when memory is tight, and it is the commonest cause of a wobbly recording
A laptop or desktop with a proper microphone and headphones gives much the best result, and it is what I would always recommend. There is a Riverside app for iOS and Android if you truly cannot get to a computer, but treat a phone or tablet as the fallback rather than the first choice.
What happens when you join
- You’ll arrive in the studio lobby.
- You’ll be asked to enter your name.
- You’ll allow access to your microphone and camera.
- I’ll admit you into the studio, and we’ll say hello.
5 · Sounding your best
Top tips for great audio
- Choose a quiet room with as few interruptions as you can manage — pets, children, building works, notifications.
- Wear headphones. This is the single easiest way to prevent echo.
- Position your microphone close to you.
- Keep your internet connection stable — wired, or close to the router, beats the far end of the house.
- We’ll do a sound check at the start, and fix what we can together.
6 · Needed for promotion
Your headshot
If you uploaded a headshot with your application, that’s the one I’ll use. If you’d like me to use a different one, email it to podcast@inclusionbites.co.uk and I’ll swap it over.
If you don’t send one, I may use your LinkedIn profile photo — the quality of those varies enormously, so it’s worth sending your own.
What works best
- Ideally 800×800 pixels or larger, and roughly square
- No text, heavy filters or branding overlays
- An image you’re happy to see used publicly
7 · If plans change
Rescheduling or cancelling
If you need to move your slot, you can reschedule yourself any time before the day, using the link in your booking confirmation or calendar invite. A moved recording takes the next available slot, which may be several months away — that’s your call, and I’ll be glad to see you whenever it is. Guests often move their recordings, so earlier dates do open up — you’re welcome to check your reschedule link from time to time and move to a sooner slot if one appears.
And if you need to cancel, or you’ve simply changed your mind, that’s absolutely fine. Just give me as much notice as you can.
8 · Release and promotion
After the recording
I’ll edit your episode and place it into the release queue.
- I can’t guarantee a publication date. There’s a healthy queue of episodes waiting to go out, so episodes are currently released several months after recording.
- As a guide, episodes are released at 06:30 UK time on the show’s current release days, which change with the size of the queue.
- I don’t fast-track episodes or let anyone queue-jump. Everyone waits their turn, including me.
- You see it before anyone else. You get a private preview and a simple way to suggest changes before it goes public. I read every suggestion, and I’ll tell you what I’ve done about it.
- On release day you’ll get an email at around 08:00 UK time, with everything you need to share it. Do check your spam or junk folder if it hasn’t arrived.
- I’ll send you promotional assets — and I do ask that you support the episode by sharing it within your own network. That’s where it travels furthest.
The key terms
In plain English
By submitting your details, attending and taking part in the recording, you confirm that you understand and agree to the following. This is the short version — the full detail lives on the Guest Engagement & Participation Terms page.
Unpaid participation
- This is an unpaid guest appearance.
- There are no fees payable to you, or by you.
- There are no royalties and no ongoing charges, at any time.
Editorial control and publication
- I retain full editorial control.
- Your episode may be edited for clarity, length and relevance.
- I may decide not to publish an episode.
- Publication timing isn’t guaranteed, and follows the release queue.
Content use, repurposing and tagging
- Your episode may be promoted using clips, quotes, transcripts and extracts.
- That content may be repurposed across platforms such as LinkedIn, blogs, YouTube Shorts, TikTok and Instagram, and other channels.
- Where it’s appropriate, you’ll be credited and tagged using the details and handles you give me. Tell me if you’d rather not be tagged on a particular platform, and I won’t.
AI-assisted materials
- I use AI tools to help produce transcripts, subtitles, show notes and short-form clips.
- AI can occasionally introduce errors, or lift a short extract slightly out of context.
- I take reasonable steps to keep things accurate and in context, and I’ll correct or amend anything that needs it once you tell me.
Data and contact, for podcast purposes only
- I store your contact details for podcast scheduling, production and promotion.
- I may contact you by email, and through professional social platforms such as LinkedIn, about your appearance.
- Your data is never sold, and never used for unrelated marketing.
Withdrawal
- If you change your mind, contact me as soon as you can.
- If the episode is already published, I can look at removing it — though I can’t control downloads that have already happened, or re-shares by other people.
Still got a question?
Email me at podcast@inclusionbites.co.uk at any point — before, during or long after your recording. I’d far rather answer something small now than have you worrying about it on the day.
